To search for a workplace

Whether you have access to workplace search depends on your role and whether you need to carry out tasks with workplaces. If you do, workplace search is the starting point to find the workplace details you need.

The Manage Workplace screen is displayed whenever you select the Manage Workplace option, either from your left side-bar menu or your pull-down Manage menu.

Use the Manage Workplace screen to look for the workplace details you need. Click here to see an example.

1.  Enter your Search Criteria. There are a range of aspects to a workplace that you can search on. The general principle is that the search extracts summary details of all workplaces that match the search criteria you enter. For example, if you enter a postcode, all workplaces on your database that share that postcode are selected. From these results, select the workplace you require.

The table below shows details of the Search Criteria you can enter:

Field

Explanation

Organisation Name

The name of the organisation located at the workplace you are searching for. Remember you can use an '*' as a wildcard to replace one or more characters in the name. For example, entering Ae* will select all workplaces whose organisation name begins with 'Ae'.

Contact Name

Each workplace has one or more contacts associated with it. If you can remember the name of the contact, enter it here. Again the wildcard character * is permitted.

Postcode

The postcode or part of the postcode where the workplace is based.

Borough

The borough in which the workplace is located.

Ward

Select the ward where the workplace is located using the pull-down list.

Planning App No.

Where a planning application has been made, planning permission may be conditional on the development of a travel plan. In these cases, a planning application number may help find the workplace on your database.

Travel Plan No.

When a travel plan is recorded, it is assigned a unique reference. You can search on this if you have it available.

Travel Plan Status

An organisation has a travel plan status. The status varies depending on whether planning obligations exist or whether the organisation is a voluntary registration. For more information, see Workplace travel plan types and statuses.

Use the drop-down list at this field to select a Travel Plan Status that you want to search on.

Business Activity

Select a type of business activity from the pull-down list.

Hint:

If you enter specific and detailed search criteria, your search results are much better and you have less results to review to find the required workplace.

2.  Click on Search. All the workplaces that match your search criteria are displayed in the lower section of your search screen. Summary details of each workplace are shown to help you assess, at-a-glance, whether it's the workplace you are looking for.

Note:

Against each workplace, a green or maroon banner is displayed showing the status of that workplace's travel plan. Maroon means the travel plan for that workplace is conditional on planning permission being granted by the local authority. Green indicates a voluntary travel plan arrangement is being made.

3.  Scroll down the list of workplaces that match your search criteria until you find the one you need.

4.  Click on the heading for your chosen workplace to display its details on your screen. You can now start carrying out a task with that workplace, for example, setting targets or auditing the organisation's travel plan.

Note:

Additional features are available to help you in your search for workplaces:

Use the Sort by: drop-down list to change the order in which you want to display your search results. The default is Organisation Name, but you can select a different sort order if you wish.

Down the right hand side of the search screen, the letters of the alphabet are displayed (starting with a numerics button). Click on any of these buttons to display workplace search results beginning with the chosen letter. For example, if you clicked on A, all workplaces whose names begin with 'A' would be displayed as search results.

Where more than one page of search results exist, move between the pages by clicking on the page numbers at the foot of your screen.

Use the Show drop-down list to control how many search results you want to see on each page.

If you check the box against one or more workplace headings, then click on Show Selected on Map, the locations of the workplaces are displayed on iTRACE's graphical mapping facility.

When searching for a postcode, this search will only return postcodes where there is an existing travel plan site. To search for a postcode where there is no existing travel plan, use the address search on the Map window. See Using the map's left-hand panels.
